Safeguarding statement
At The Willow Tree Forest School, we are committed to providing a safe and nurturing environment for all our attendees. Safeguarding is paramount in all aspects of our activities, and we are dedicated to ensuring the well-being and protection of every child in our care.
Designated Safeguarding Lead
Laura Payne is our designated safeguarding lead (DSL) and holds a DSL level 3 qualification. Laura is responsible for overseeing all safeguarding matters, providing support and guidance to staff, and liaising with external agencies when necessary.
Staff Training
All staff members at The Willow Tree Forest School undergo thorough safeguarding training to equip them with the knowledge and skills to recognize and respond to safeguarding concerns effectively. This training is regularly updated to ensure staff are aware of current best practices and legislation.
Safer Recruitment

We do ask for your consent in using images of your child for social media and marketing purposes upon sign up, in cases where image consent is declined, we will make every effort to crop out, obscure or remove your child from a image or moving image. We do make a conscious effort to follow your wishes, however, we can not give a guarantee that this is done 100% of the time due to the nature of moving images and/or ability to crop/remove/obscure your child from an image/moving image. By attending our sessions, you acknowledge this can be the case and have no legal recourse if we do use your child's image.

Welcome to The Willow Tree Forest School website. By using this website and enrolling in our programs, you agree to comply with and be bound by the following Terms and Conditions. These terms apply to all participants, parents, guardians, and visitors. Please read them carefully before proceeding with any bookings or attending our sessions.
2.1 Cancellations by Participants
All bookings for sessions, events, and programs at The Willow Tree Forest School are final. We operate a strict No Refund Policy. This includes, but is not limited to, cancellations due to illness, change of plans, or dissatisfaction with the experience.
2.2 Cancellations by The Willow Tree Forest School
In the event that The Willow Tree Forest School cancels a session or event due to unforeseen circumstances, including extreme weather conditions that would render the site unsafe, participants will be offered an alternative date or session. No cash refunds will be provided.
3.1 Respect for Others
All participants, including children and their guardians, are expected to behave respectfully towards staff, volunteers, other participants, and the natural environment. Any form of abusive, disruptive, or aggressive behaviour will not be tolerated.
3.2 Consequences of Unacceptable Behaviour
Participants displaying unacceptable behaviour may be removed form the group and isolated with a member of staff for safety of the group. If a child is removed from the session or asked to leave due to behaviour issues, the parent or guardian will be contacted to arrange immediate collection. In such cases, no refund will be issued. We reserve the right to deny you or the participant access to future sessions run by The Willow Tree and associated companies.
4.1 General Safety
Participants must adhere to all safety instructions provided by The Willow Tree Forest School staff. This includes, but is not limited to, staying within designated areas, handling tools correctly, and following guidelines for interacting with natural elements and wildlife.
4.2 Supervision of Children
Parents or guardians are responsible for the supervision of their children before and after the forest school session. During the session, children are under the care and supervision of The Willow Tree Forest School staff, but parents must ensure that their child understands and follows the behaviour guidelines. In particular the rules about not going near the North border where there is a live trainline. The is no fixed boundary/ fence , instead a wire barrier which in parts leaves the live trainline accessible. Children must be able to follow the safety rules and respect the boundaries set out by the Willow Tree staff. inability to do this will result in the immediate removal of the participant and parent/ guardian called to collect.
4.3 Clothing and Equipment
Participants are required to wear appropriate clothing and footwear suitable for outdoor activities in a woodland environment. This includes waterproof clothing, sturdy footwear, and weather-appropriate layers. The Willow Tree Forest School is not responsible for any injuries resulting from inappropriate clothing or footwear.
5.1 Participation and Engagement
Children are encouraged to participate fully and engage with all activities. Disruptive behaviour that prevents others from enjoying the session will not be tolerated.
5.2 Respect for Nature
Children must show respect for the natural environment, including plants, animals, and the general ecosystem. Deliberate damage to the environment will be treated seriously and may result in exclusion from future sessions.
5.3 Tool Use and Safety
Where sessions involve the use of tools, children must listen carefully to instructions and use the tools as directed. Unsafe use of tools or refusal to follow safety instructions will result in the immediate cessation of that activity for the child involved.
6.1 Disclosure of Medical Information
It is the responsibility of the parent or guardian to inform The Willow Tree Forest School of any medical conditions, allergies, or special needs that their child may have before attending any sessions. This information is crucial for the safety and well-being of all participants.
6.2 Medication
If a child requires medication during a session, the parent or guardian must provide clear instructions and ensure that the first aider on site knows how to administer it. The Willow Tree Forest School staff are not responsible for administering medication unless a prior arrangement has been made. We do not take any responsibility for injury or illness following administering of any medication.
6.3 Illness
If a child or anyone in their family is sick and there is a chance the child may be ill please do not send them to session. In particular if your child or someone in the household has COVID or similar contagious illness please do not send them in to session. If your child presents unwell during the session their registered guardian/parent will be contacted and asked to collect the child. We do not give out paracetamol/ibuprofen on site.
7.1 Assumption of Risk
All activities at The Willow Tree Forest School are conducted with safety as a priority. However, participation in outdoor and adventurous activities carries inherent risks. By enrolling in our programs, participants (and their guardians) acknowledge and accept these risks.
7.2 Limitation of Liability
The Willow Tree Forest School, its staff, and volunteers will not be held liable for any injury, loss, or damage to persons or property, except where such liability cannot be excluded by UK law. All advice and opinion given is done so in good faith from a personal view point and is not legally binding, nor should it be taken and implemented without personal consideration. Participants and their guardians agree to release and hold harmless Laura Payne, staff members and/or The Willow Tree Forest School from any and all claims arising from their participation in our programs.
8.1 Use of Personal Data
The Willow Tree Forest School is committed to protecting your privacy. Any personal information provided during the registration process will be used solely for the purposes of running our programs and will not be shared with third parties without your consent, except as required by law.
8.2 Photography and Media
Photographs and videos may be taken during sessions for promotional purposes. If you do not wish for your child to be included in such media, please inform us in writing prior to the session. Whilst we will take every care to follow these wishes, we can not 100% guarantee that your child's image will not appear in our social media pages/marketing/website etc.
The Willow Tree Forest School reserves the right to modify these Terms and Conditions at any time. Any changes will be posted on our website, and continued use of our services will constitute acceptance of the new terms.
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
